A client reached out to TechVariable, looking to enhance their customer relationship management (CRM). They had a system that registered companies with details and services or packages they opted for. These services could be one-time or recurring. The challenge lay in manually assigning tasks and inquiries to employees using a paper-based system with no tracking system. Further, the company’s hierarchy management posed a challenge as only three levels of roles were dependent on each other while others were independent.

Manual Operations: The company manually assigned employee tasks and inquiries, resulting in efficiency gaps.
Inefficient Tracking: No system was in place to monitor employee tasks, making management difficult.
Hierarchical Complications: The company had a hierarchical structure where only three levels of roles were interdependent, while the rest were independent. This system was complex and not conducive to smooth operations.

High Level Design Architecture

Solutions

In response to these challenges, TechVariable implemented a series of strategic solutions:

Company Registration Dashboard: We developed a dashboard where companies could be registered, and services or packages could be created and assigned from the dashboard.
Task Assignment and Tracking: Each company was assigned to a specific manager, account manager, team leader, etc., who could then monitor their assigned tasks and inquiries.
Automation of Recurring Services: For recurring services, tasks, and inquiries, we created an automated system managed by a CRON job.
Server Hosting: The entire system was hosted on a bare-metal server, with accounts managed using a WHM cPanel and Apache as a proxy server.

Result

Improved Customer Retention: The new system helped keep track of customer interactions and preferences, leading to better service and upselling opportunities. As a result, profit rose by 25% in the first year of implementation.
Enhanced Marketing Efficiency: The solution helped the company create targeted marketing campaigns and effectively track campaign performance.
